What Happens When I Book with Ski Safari?

Booking with Ski Safari means the highest levels of personal service, every step of your journey.

Here's what to expect, step-by-step.

1. Initial enquiry: let's talk about your holiday!

When you first call our office or enquire through our website, you’ll be assigned your own Ski Specialist with in-depth knowledge of your destination.

Whether you know exactly what you want or you’re looking for ideas, they’ll take the time to understand your group’s wants and needs, and to talk you through the best options available. They’ll also be your dedicated point of contact moving forward, for this and any future trips.

We’re happy to communicate via e-mail, but we always suggest a phone call to kick things off - it helps us get to know you (and you us), so we can provide better recommendations and a more accurate quote early on, while avoiding long e-mail chains.

We’ll need to know who is travelling, when, how long for, and your budget, along with your group’s ski abilities and experience (if any!). We’ll also talk about your preferences for accommodation, transport, flights, and any extras, so your Ski Specialist has all they need to start planning your holiday.

If you enquire through our website or email our team directly, we’ll try to contact you as soon as possible within our working hours (Monday to Friday 9am to 5:30pm).

Expert advice you can count on

Our Ski Specialists know their mountains. They are all lifelong skiers and snowboarders and between them they've worked over 80 winters at Ski Safari - that's a lot of accumulated knowledge!

We also have team members who’ve lived and worked in the destinations they sell, so they'll be able to provide a genuine local's opinion.

2. Your tailor-made quotation, within 24 hours

After your consultation call, your Ski Specialist will send a fully tailored quote by email, either the same day or the next working morning.

They’ll follow up to get your feedback and to make any changes you want. At this point, we can hold some time-critical elements like flights or accommodation commitment-free, to ensure they don’t sell out or increase in price before you're ready.

Our Specialists don’t work on commission, and we aren’t tied to particular airlines or hotel groups, so we won’t pressure you or sell you a holiday that’s not right for you. But if any elements of your holiday are close to selling out or increasing in price, we’ll let you know.

3. Confirming your holiday

Once you’re happy with your holiday package, you’ll need to complete our booking form and pay a deposit to confirm your booking. This is normally £200 per person, though larger deposits may be required for long-haul trips. This will be explained beforehand.

Your Ski Specialist will then confirm all ‘critical’ elements of your holiday like flights, accommodation, and any extras that may sell out (like ski school and guiding).

4. Finalising the details

After booking, you’ll be introduced to your dedicated Tour Coordinator. They’ll set about confirming your transfers, lift passes, equipment rentals, and all other elements of your trip. 

Logistics and attention to detail are what they do best, and they’ll be available for any questions you have before, during, and after your holiday.

5. Before you travel

In the run-up to your holiday, we’ll be in touch with any updates, and we’re available by phone or e-mail if you need anything. There are also two main milestones to look out for:

  • 10 weeks before travel - your final balance is due (we’ll send a reminder!).
  • 2 weeks before travel - you’ll receive a detailed information pack via email with everything you need to know about your holiday. We recommend reading this thoroughly!

We’ll also contact you before you travel to make sure you’re all set, and to answer any final questions.

6. During your holiday

This is your time to enjoy! The vast majority of our trips run like clockwork, but travel can be unpredictable, so your Tour Coordinator will check in by email 2-3 days in, just to make sure that everything is going to plan.

Our team is here to help during office hours, and you’ll also have a 24/7 emergency support phone number, in case you need urgent assistance out of hours. This line is manned by our team, not a call centre, so we’ll help you as quickly and efficiently as possible.

7. Once you’re back home

Shortly after you return, we’ll be in touch to see how your holiday went.

This is your chance to tell us all the things you loved, and to let us know if there’s anything you think could be improved. This kind of feedback is vital for us to keep delivering first-class holidays - we value it hugely and will always action changes where needed.

Your Ski Specialist will also be in touch to see if you have any ideas for next winter. Booking early is often the best time to secure the best prices and guarantee availability in your preferred resort and hotel. But if you’re not quite ready, then we can schedule a call further down the line.

Some of our customers have been booking with us for over twenty years and have only dealt with two to three Ski Specialists and Tour Coordinators in that time. We’re proud of that continuity and the relationships we’ve built with our customers.

It means that every holiday is better than the last as we get to know your ski holiday habits.

More than a third of our team have been with us for over 10 years (including a few over 20 years), and the average tenure for our sales and operations teams is over 7 years. That’s a huge amount of accumulated knowledge, so on the rare occasion that you can’t speak to your dedicated Ski Specialist or Tour Coordinator due to annual leave or illness, you know that you’re still in very good hands.

We're very happy to communicate by e-mail if you can’t (or don’t want to) speak on the phone. That said, we do always recommend a phone call at the start - in just 10–15 minutes, we can really understand what's important to you, answer your questions, and give much better recommendations for you and your group. Our aim is simply to make planning your holiday as easy, efficient and enjoyable as possible.

After our initial conversation, we're happy to continue by email if that's your preference. 

We create every holiday from scratch, tailored to your preferences, dates, and group size. And, to ensure the best choice and value, we work with a wide range of suppliers in our destinations - we’re not tied to exclusive arrangements with specific airlines or hotel groups.

This is great for our customers, but it means prices vary. We think it’s better not to mislead customers by advertising the lowest possible price, so we choose to quote each holiday individually.

For similar reasons to why we don't show all our prices.

There are some ski websites that allow you to customise and book online yourself, but it can be an overwhelming process and rarely results in the best value holiday. Our Ski Specialists know the market inside out, aren’t tied to set packages, and can often save big with very small refinements. This expert oversight also ensures you’re choosing the right resort or property for your group.

We find that our prices are highly competitive like-for-like - even with the high levels of personal service we offer.

If you have found a lower price with a competitor, it is worth checking details like flight and transfer times, board basis, and room type. If all elements of the holiday are exactly the same and it’s still cheaper, let us know and we’ll see what we can do.

If you’ve found a lower price by booking all elements yourself independently, just keep in mind that your holiday will not have the same financial protection, and you won’t have our expert advice and support before and during your trip. And hopefully, you see the value in our specialists finding you the perfect holiday, saving you time and stress.

If you need to cancel your booking, we will need confirmation in writing (e-mail or post).

If you cancel more than 70 days before departure, you will just forfeit your deposit. Within 20 days of departure, the holiday becomes fully non-refundable. Between those times, cancellation charges vary - you can see full details in our Booking Conditions (section 8).

We strongly recommend arranging comprehensive travel insurance as soon as you book your holiday. Depending on the reason for your cancellation, your insurer may reimburse some or all of the cancellation charges, helping to protect you against unexpected changes to your plans.

You can book with confidence, as 100% of your money is protected when you book with Ski Safari.

Package holidays with flights are protected under our Air Travel Organiser's Licence (ATOL) with the Civil Aviation Authority (CAA). Our ATOL number is 4488.

Package holidays without flights are protected through our membership of ABTA. Our ABTA membership number is Y3035.

In the unlikely event that Ski Safari becomes insolvent, either the CAA or ABTA will arrange any refund of your money paid to us before the start of your holiday. If you are already on holiday, the CAA/ABTA will arrange your repatriation to the UK.

We operate a 24/7 emergency helpline. You’ll come through to one of our team in the UK who will do everything they can to help. Over the past 30 years, we’ve tackled nearly every issue you can imagine!
